Email Forwarding

Automatically forward documents to any email address

The Email Forwarding destination automatically sends your collected documents to any email address after each sync. This is useful for forwarding statements to your accountant, integrating with email-based accounting tools, or keeping a backup copy in a dedicated inbox.

Requirements

  • A valid email address to receive documents
  • At least one provider configured with downloaded documents

Setup

Configuring in Sapoto

Open Sapoto and go to Settings → Export

Click Add destination and select Email

Enter the recipient email address

Choose a start date:
  • All documents — Export everything in your collection
  • From specific date — Only export documents after the selected date

Enable the destination

How It Works

When you export documents via email:

Each document is sent as an email with the PDF attached

The email subject includes the provider name and document type

The email body contains document metadata (date, provider, document type)

Only newly downloaded documents are forwarded — no duplicates

Use Cases

Accountant Forwarding

Automatically send bank statements and invoices to your accountant's inbox after each sync.

Email-Based Accounting

Forward documents to services that import records via email, like some bookkeeping tools.

Backup

Keep a copy of all documents in a dedicated email folder or archive for redundancy.

Team Sharing

Forward invoices and receipts to a shared team inbox for collaborative expense tracking.

Exporting Documents

Bulk Export

Click Export Now in the Export settings to sync all unsynced documents. Progress is shown in real-time — you'll see each document as it's forwarded to your recipient.

Individual Export

Open any document in the details panel to see its export status and manually trigger an export. This is useful for re-sending a specific document or forwarding a single file without running a full sync.

Privacy Note

Unlike folder export, email forwarding requires sending documents through a mail server. Here's what that means:

  • Your documents are forwarded through our email service to reach the recipient
  • PDFs are not stored — they are forwarded immediately and discarded
  • We follow standard encryption protocols and do not read or analyze document contents
  • This is necessary because sending emails requires a mail server

All other export destinations (folder export, etc.) keep data entirely on your device. For the most private option, use Folder Export instead.

Troubleshooting

Emails not arriving

  • Check your spam or junk folder
  • Verify the recipient email address is correct in Settings → Export
  • Some email providers may delay or block automated emails

Delayed delivery

  • Email delivery can take a few minutes depending on the recipient's mail server
  • Check the export status in Sapoto for confirmation that the email was sent

Emails marked as spam

  • Add our sending address to your contacts or safe senders list
  • Check your email provider's spam settings and whitelist rules

Security

  • Your recipient email address is encrypted and stored only on your device
  • Email connections use TLS encryption
  • PDFs are forwarded through our server but never stored
